    Blue Dart Closure in Kolkata: 28 September 2017 to 02 October 2017

    On account of Durga Puja in Kolkata please note that our courier partner, Blue Dart, will be completely closed on 27 September 2017 to 30 September 2017. Blue Dart will also be closed for 02 October 2017 for Gandhi Jayanti. Hence all applications accepted in Kolkata on 28 September 2017 will be submitted at the Embassy in Delhi on 04 October 2017.

    Also note that the counter collection passports sent from Delhi on 28 September 2017 and 29 September 2017 will reach Kolkata on 03 October 2017.

    Important Update

    Personal appearance : after filling in the application form on Visa On web,  the applicant’s personal appearance at the VFS Visa Application Center is required in order to register the biometric fingerprints data along with a live photograph.  The following applicants are however exempted of the personal appearance :

    • Applicants for a national long term visa D
    • Applicants for a Schengen short term visa C below 12 years of age
    • Applicants for a Schengen short term visa C who have already registered with any Schengen member state their biometric fingerprints data along with a live photograph not longer than 59 months ago. In case of doubt it is advised to opt anew for the personal appearance.

    As per the new visa application procedure, from 25 January 2017 all applicants will need to visit VFS visa application centre to submit their application as Biometric fingerprint data along with a live photograph is required for all the short term applications and live photograph is required for long term & Child below 12 years applications. For VIS (59 months) Applicants has to appear for live photograph at VFS visa application centre.

    The Government of India has withdrawn with immediate effect (midnight of 08 November 2016) the legal tender character of the existing and any older series banknotes in the denominations of Rs 500 and Rs 1000.

    VFS will accept Visa fees and VFS logistic charges in all denominations of all notes other than the existing & old high denomination notes of Rs. 500 and Rs.1000.

    On account of Durga Puja in Kolkata please note that our courier partner, Blue Dart, will be completely closed on 10 October 2016 and 11 October 2016. Hence all applications accepted in Kolkata on 10 October 2016 and 11 October 2016 will be submitted at the Embassy in Delhi on 14 October 2016.

    Also note that the passports sent from Delhi on 10 October 2016 and 11 of October 2016 will reach Kolkata on 12 October 2016 and 13 of October 2016 respectively.

    All applicants are required book an appointment online to submit their visa application and Biometric information at the Schengen visa application centre.

    As part of the visa application procedure, from 2 November 2015 applicants will need to provide Biometric fingerprint data along with a digital photograph. If you have temporary injuries on your fingers, applicants are advised to wait until the injuries have healed before you book your appointment. Henna on fingertips may also mean we are unable to get a clear scanned image and should be removed or allowed to fade before your appointment date.

    Before you make an appointment you should carefully read the visa application process available on the website to submit your visa application and supporting documents at the visa application centre.

    If you have missed your appointment on the scheduled day, the system will not allow you to reschedule or cancel and you will require to book a new appointment after 24 hours.

    Please make sure you arrive at the visa application centre 15 minutes prior to your appointment time. Applicants are not allowed to be accompanied inside the visa application centre. The only exceptions to this are those accompanying children under 18 years-of-age or applicants who need special assistance for health reasons or disability.

    If you are part of a family or group, each member of the family or group must make an individual appointment. For example, if you are a family of 4 with 2 adults and 2 children you must make 4 individual appointments.

    VFS Global appointment system is compatible with most popular browsers. VFS Global will soon introduce appointment scheduling through call Centre for the ease of applicants.

    Passport/s can be collected and enquires will be allowed on the abovementioned date during normal working hours.

Our Belgium visa application centre is located on the 5th floor in the same building and has not been damaged due to the fire. However, the building access has been completely restricted for all the visitors. Hence all submissions for visa applications will be done from Mumbai Application centres

    Travel Medical Insurance

    Applicants must provide proof of travel medical insurance covering the full time of their intended visit. The insurance must be valid throughout the territory of the Member States. The minimum cover shall be EUR 30,000.

    The insurance has to cover any expenses, which might arise in connection with repatriation for medical reasons, urgent medical attention and/or emergency hospital treatment or death.

    As a general rule, insurance should be taken out in the country of residence. Where it is not possible it can be obtained in any other country.

    Kindly be advised that travel medical insurance policy terms and conditions cannot limit the coverage of medical expenses or emergency care based on age, resulting in coverage below the minimum requirement. Please note that failure to provide adequate travel medical insurance will delay the processing of your visa application.

    Please find here the list of those Indian insurance companies which are approved by the consular representations of the Schengen States to provide travel medical insurance for the visa procedure.

    New method of reception of D-visa applications:

    New visa regulations starting on 02 March 2015 will oblige visa applicants to pay a handling fee directly in Belgium before applying for a visa. It is an administrative fee that comes above the normal visa fee and it is valid only for the D-visa (long stay).

    This Belgian handling fee should be paid directly on the Home Affairs’ Belgian bank account BE57 6792 0060 9235, either from Belgium or from where the applicant is registered.

    Application won’t be Submitted at Belgium Visa Application Center if the Fees is not paid.

    The exact due amount according to the purpose of long stay in Belgium (see table) has to be paid in EURO and in the bank account below only, all bank/intermediate bank charges to be borne by the person making the transfer (applicant, family member, employer, warrant…).

    Communication

    The following information has to be visible in the communication of the transfer :

    • Last name and First name of the applicant,
    • nationality,
    • birth date,

    Passport Collection Process:

    The Embassy of Belgium, New Delhi has implemented a change in arrangement for the collection of passport(s) from VFS Global Visa Application Centre. With effect from 27 January 2015, third party collection of the documents or passports will not be permitted, except in the following cases:

    • Immediate Family Member (that is Parents, Children, Spouse)
    • One member of a group collecting for the entire group
    • A person collecting on behalf of Government officials if authorized on the Government letter head or department

    If any of the above comes for passport collection they need to carry the following documents:

    • Original Government ID card
    • Original ICR
    • Original authorization letter from applicant

    It is also mandatory to mention applicant’s personal address.

    Applicant's passport will not be couriered to their travel agencies 'addresses as directed by the Embassy.

    Note*

    1. For Seaman applicants, the passports can be collected by the applicant personally from VFS or the passport will be couriered to the seaman’s residential address only.
    2. In case of a business applicant, if the applicant wishes to receive the passport to his/her office, then the same needs to be mentioned in the covering letter and the applicant’s office address needs to be mentioned in the courier request form.
