Archiving hard copies of vital records is a challenge. It requires a huge volume of storage space with long-term availability and effective retrieval systems. Creating multiple copies of paper documents and storing them in fireproof vaults may solve problems related to data loss. However, it is not the most effective solution.
To address this challenge, VFS Global has developed a Data Management System (DMS). The DMS helps organisations archive large volumes of documents, so that the data is stored securely in a digital format—from where it can be readily accessed whenever required.

The DMS features can be customised as per the requirements of a diplomatic mission. Some of the diplomatic missions may only require digitisation and not archiving feature. We can provide the DMS features as independent modules, allowing the diplomatic missions to select need-based solutions.

The DMS is supported by a stringent quality check process to ensure the quality standards of image scanning, data entry and the complete end-to-end process are met. It makes the complete DMS cycle error-free.
The workflows in the DMS modules can be customised based on the requirements of the diplomatic missions. To achieve this, we offer the DMS in two modes: Centralised and Decentralised:
The Centralised mode connects all the scanning locations to one centralised hub for data entry. Based on individual authentication credentials, the diplomatic mission officials can archive and retrieve the digitised and indexed images using the in-built retrieval tool.
The Decentralised mode helps the diplomatic missions in digitising documents and storing the digitised documents on their own systems.
The digitised data is destroyed securely as per the prescribed timelines and norms.
As a policy, we seek legal opinion on the data transfer and protection laws of the parent country as well as the applicable laws in the country in which the mission is located. Thereafter, the applicable data privacy norms and regulations are implemented and are agreed upon.
The solution provided by the DMS reduces the storage cost, thus enabling controlled and improved document distribution. The system not only provides the repository for document storage but also enables easy accessibility of information through the powerful search functionality embedded in it.
