After submission of documents at the Visa Application Centre, you can also check the status of your application online, by providing the unique Reference Number and your date of birth. (Reference Number can be found in the invoice-cum-receipt provided at the Visa Application Centre at the time of submission starting 18 February 2019.

You must wait until the Embassy has made a decision on your case. The timelines given by the Embassy of the Federal Republic of Germany for the processing of each application is a minimum of 2 weeks. However, visa applicants should bear in mind that each application is subject to an individual assessment and processing time may vary.

If you have availed of the SMS tracking service, you will receive SMS and email alerts, once the processed application is couriered or is ready for collection at the Visa Application Centre. These alerts will be received on the mobile number and email address provided while submitting the visa application.

Passport Collection is between 14.00 – 16:00 Monday to Friday except on declared holidays.

During the passport collection at the Visa Application Centre it is required to provide the following:

  • Original payment receipt that was provided by the VFS official during application submission.
  • Original and a photocopy of valid identification
  • For minors: copy of birth certificate or school ID
  • Affidavit of loss must be presented in any case of lost receipt


Representatives/agents/consultants collecting the passport at the counter will have to provide the original receipt and an authorization letter from the applicant clearly stating the name of the applicant and the person / or agency authorized them to collect the passport on their behalf.

If you have opted for courier delivery and receive the passport outside of the Visa Application Centre, please be ready to provide the following documents:

  1. Original payment receipt
  2. Document confirming your identity
  3. Letter of authorization
  4. Representative’s original valid identification and a photocopy hereof.
  5. Affidavit of loss must be presented in any case of lost receipt.
